Before diving into automation, it’s important to identify which tasks will benefit most from it. An exercise I like to do is make a list of all the things I do in a given day, week, or month. Once I have that list I organize it into two categories: “Tasks I’m good & love doing” and “Tasks I dislike & are not my strength. Anything in the “Tasks I dislike & are not my strength” is what I want to automate or outsource.

Here are some examples of automations to implement:

  1. Repetitive Admin Tasks: Tasks that are performed repeatedly, like scheduling sessions, taking payments, data entry or social media posting, are perfect tasks to automate. By automating these alone you can save countless hours.
  2. Routine Communication: Tasks like sending out appointment reminders, follow-up emails, abandoned cart notifications, or common customer service responses can be automated seamlessly. This ensures timely communication without manual effort.
  3. Report Generation: Creating regular reports for social media, finances, etc can be time-consuming. Automating the collection and analysis of data can provide accurate information with less effort.
  4. Marketing Activities: Email marketing campaigns, social media scheduling, engagement and lead nurturing can all be automated to ensure you consistently nurture & grow your audience.
  5. Contracts & Payment Processing: Automating contracts, invoicing and payment reminders can streamline your financial operations and improve cash flow.

This is just a sample list of what can be automated! I highly recommend doing the exercise above. That way you have a list of automations that are aligned with your unique business. 

Choose the Right Automation Tools and Software

Once you’re clear on the tasks you want to automate, the next step is to choose the right tools. With so many tools out there it is important to understand your budget, time to learn a new software, and how tech savvy you are.

Here are some tips to help you select the best tools:

  1. Assess Your Needs: Determine the specific areas of support your business needs. Do you need tools for email marketing, customer relationship management, or project management? The list you created earlier will make this step easy to do.
  2. Research Options: With so many tools out there, I would recommend narrowing your search by budget. That way you spend less time looking at softwares you don’t want to invest in. Plus watching reviews can give a BTS look at what the platform is like.
  3. Integrations: Choose tools that can integrate seamlessly with the systems you already use. For example a CRM can integrate seamlessly with calendar scheduling, customer service, and payment processing.
  4. Ease of Use: Select tools that suit your skill level with technology. Most platforms now come with full courses on how to utilize their platform.
  5. Scalability: Pick tools that can grow with your business. As your business expands, your automation needs will change, so it’s important to choose software that can grow with you.

This is where we get to the exciting part! Now that you have tasks you want to automate & the tool(s) to help you do it, it’s time to put it into action. 

Here are some steps to help you effectively automate your business (without getting overwhelmed):

  1. Start Small: Automating your business isn’t an all or nothing task. Focus on automating the tasks you want off your plate ASAP. This allows you to slowly transition & make note of what you like/don’t.
  2. Document Everything: As you set up your automation, it is your chance to create an SOP around it. This is a document that explains how to get a specific task done. This will help maintain consistency & be a guide for when you hire support
  3. Test Everything First: Before you hit publish, always trust your automation with a separate email. I like to create a “Tester” client to ensure everything works seamlessly. This allows you to feel more confident & comfortable with making the automation active.
  4. Be Flexible: Be prepared to make adjustments based on feedback from clients, glitches, and shifts in your business. It is about making consistency adjustments that lead to the best results.

Once you have integrated automation into your business, it’s important to always evaluate and adjust your strategy to ensure you’re getting the best results. 

Here’s simple ways to keep your automation efforts on track:
