Understanding the Power of Customizable Routines

Customizable routines give you the flexibility to get daily tasks done efficiently & effectively. Having a structure you feel fulfilled by leads you to being more productive leading to achieving your goals faster than you think. Instead of trying to fit into a one-size-fits-all routine, you design your day around what works best for you.

These are some benefits of spending some time customizing your work routine:

  • Flexibility: When you have flexibility, you have freedom. Having a routine that embeds and flows with your life allows you to achieve success in all areas of your life. Customizable routines let you adapt to changes. Plus, it will reduce stress and help you stay focused on your priorities.
  • Efficiency: When you create a routine that matches your working style, you can get more done in less time. Knowing what to expect each day makes it easier to stay on track and avoid distractions.
  • Balanced Workdays: Having a custom routine helps you balance wearing all the hats in your business. By setting specific times for various tasks, you can ensure you address all aspects of your business without feeling overwhelmed.

The power of customizable routines lies in their ability to move the needle in your business while providing the freedom to adjust as needed. This balance is key for having a fulfilling business that doesn’t leave burnout at the end of the day.

Creating a Template for Your Ideal Day

Creating a template for an ideal day sets the foundation for a successful routine. Start by listing your daily tasks and categorize them by priority. This helps you see what needs to be done first and what can wait.

Steps to Create Your Ideal Day Template:

  1. List Daily Tasks: Write down everything you do in a day. This includes work, breaks, meals, and personal time. This gives you a clear overview of what you do in a day. You can also include time stamps to see where things are slowing you down too.
  2. Prioritize Tasks: Identify which tasks are most important. You want to ensure they are in alignment with your business goals! These should be the first things you tackle each day.
  3. Set Time Blocks: Allocate specific times for each category. For example, morning hours are for high-priority work, midday is for meetings, and afternoon is for less demanding tasks. I used the app RISE to help me see when my energy peaks & drops for better scheduling of tasks.
  4. Include Breaks: Don’t forget to schedule breaks. This ensures you stay focused and fresh as you move through your day.

This is what my customizable routine looks like:

    • Wake up (6 AM- 8 AM): Read, Pilates, breakfast, and get ready for the day.
    • Morning (8 AM – 11 AM): High-priority tasks for Indigo Elephant (no client work).
    • Late Morning (11 AM – 12 PM): Start checking in on clients & accomplish small tasks for them.
    • Lunch Break (12 PM – 1 PM): Relax and recharge (this changes based on the day)
    • Afternoon (1 PM – 3 PM): Client work and meetings (I often squeeze in a walk or yoga as a 15-minute break).
    • Late Afternoon (3 PM – 6 PM): Admin work for Indigo Elephant and any last-minute client work.
    • Evening (6 PM-8 PM): Dinner, and quality time with my fiancé.
    • Bedtime (9 PM or 10 PM): Getting ready for bed and reading.

By following these steps, you create a routine that helps you manage your day effectively. It gives you the flexibility to try different routines to find what works best for you.

Tools and Techniques to Track Progress

Tracking your progress is key to understanding how effective your routines are. It helps you see where you’re thriving and where you might need adjustments. Several tools and techniques can assist in monitoring your daily activities.

Useful Tools:

  • Task Management Apps: Tools like Trello or Asana can help you keep track of tasks and deadlines. They allow you to organize tasks into boards or lists, making it easy to see what needs to be done. I personally use Monday.com and Momentum for my task & to-do lists.
  • Time Tracking Apps: Apps like Toggl or Clockify can help you understand how much time you spend on different activities. These apps provide reports that show where your time goes each day.
  • Calendars: Using a digital calendar like Google Calendar helps you schedule tasks and set reminders. You can block out time for specific activities and sync it across devices.

Effective Techniques:

  • Daily Check-ins: At the end of each day, review what you accomplished. Note what went well and what didn’t. This reflection helps you adjust your routine to what will truly work best for you.
  • Weekly Goals: Set specific goals at the start of each week that relate to your overall business goals. Break these down into daily tasks to keep you focused & your momentum high.
  • Progress Journals: Keeping a journal of your daily activities and reflections can help you track patterns over time. Plus it is a space for you to write out how you feel and move through any blocks you might be facing. You can use a physical or digital journal!

Using these tools and techniques ensures you stay on top of your tasks and continuously feel supported by your routines.

Adjusting Routines for Long-Term Success

Customizable routines should evolve as your needs change. What you may need won’t be the same a month or year from now. Regularly adjusting your routines ensures they remain consistent over time. Here are some ways to adjust your routines for sustainable success.

Regular Assessments:

  • Monthly Reviews: Take time at the end of each month to assess your routines. Look at what worked and what didn’t. Make necessary adjustments based on your findings. This could be automation, outsourcing, or simple moving when you do certain tasks.
  • Feedback from Others: Sometimes, an outside perspective can help. Ask someone in your network for feedback on your routines. They might see things you don’t.

Adapting to Change:

  • Flexibility: Life is unpredictable. Your routine should have some flexibility to adapt to unexpected changes. This can look like moving tasks around, rescheduling meetings, and reprioritizing your tasks.
  • Seasonal Adjustments: Different times of the year might require different routines. For instance, the holiday season might be busier, needing a different approach than slower periods like during the Summer.

Continuous Improvement:

  • Setting New Goals: As you achieve your goals, set new ones. This keeps you motivated and ensures continuous growth. I have had the most success in setting quarterly goals and adjusting them when new quarters begin.
  • Experiment: Don’t be afraid to try new methods or tools to see if they improve your routine. Being open minded leads to finding better ways to have a business that works for you.

By continuously assessing and adjusting your routines, you ensure they stay effective. This approach helps maintain productivity levels and keeps your business operations running smoothly.
