1. Plan Out Your Week
This is simple, but you’d be surprised how many people don’t plan out their weeks. By having no plan, you have no structure which leads to feelings of overwhelm. Spend a little time (30 minutes or less) every Sunday or Monday morning creating a roadmap for the week. You can spend 15 minutes brain dumping all the tasks you need & cross checking any important meetings. The remaining 15-minutes can be spacing out the days you’ll get tasks done. This reduces the pressure of having to get everything done in one day. Just focus on 2-3 tasks that will greatly move the needle for you.
2. Incorporate a Project Management Tool
A project management tool like Monday.com or Asana simplifies how you can achieve your goals. It allows you to have a birds eye view of what is getting done (& maybe what isn’t). The way Katie, my business partner, & I use Monday.com is by:
- Creating boards for each goal.
- Breaking down the goal into smaller, manageable tasks.
- We assign each other tasks based on our strengths.
- We add deadlines to ensure we get XYZ done.
Regardless of the tool you use, it will give you structure & accountability in reaching your goals. It will ensure nothing slips through the cracks!
3. Batch Your Tasks
Batching is all about grouping similar tasks together to maximize your focus & time. For example, if you have several emails to send, do them in one sitting rather than scattered throughout the day.
Another way you can batch tasks is having themes for certain days of the week. This could look like every Wednesday is when you create all your content for social media. Another day can be focused on handling client check ins & meetings. It is about finding a working style that suits your lifestyle.
4. Set Clear Boundaries with Clients, Friends, and Family
Boundaries are so important to preserving your energy, but also your time. Just like a 9-5, you can set work hours for yourself. The way I did it was creating a “Do Not Disturb” schedule on my phone. From 9AM-6PM it will block messages & calls so I’m not distracted. You can set it so specific contacts are able to contact you.
Another way to set boundaries is making it very clear on how clients can communicate with you & the time frame it will take you to respond. This prevents you from answering messages all day long. By maintaining these boundaries, you ensure you stay focused, while still allowing time to recharge too.
5. Prioritize Tasks Based on Your Goals
What I often see preventing business owners from growing is getting caught up in busy work all damn day. This can appear as always trying to have an inbox at 0 or constantly tweaking your website design. These tasks do nothing but waste your time. Instead think about your business goals, and write out the tasks you must do in order to reach that goal. This is where you can wrap in your project management tool so you never lose this information. Anything on that task list will move the needle which means all your energy should go towards them.
Again, this doesn’t mean doing them all in one day! You can spread them out over weeks or months. As for the busy work tasks, I will get into how you can tackle those later in the blog.
6. Declutter Your Physical & Digital Workspace
When working from home, what helps keep me mentally clear is having an organized space. This includes both your physical and digital space. I know for me, if my kitchen is messy I literally cannot focus on anything else besides how messy it is.
When it comes to sitting down for work, having minimal items on your desk will keep you focused. For example, I have a plant, coaster, affirmation card, and a bowl for my rings. That is it. As for your digital workspace this can look like having an organized Google Drive, proper tagging/filter in your inbox, or folders for Canva designs.
This will save you so much time as you will know where everything is when you need it.
7. Incorporate Time Blocks for Working & Resting
Everyone and their mother talks about time blocking. The way I like to time block is with the Pomodoro Method. For 25 minutes, I focus solely on one task and then I get a 5 minute break. After I go through that cycle 4 times, I get a 15 minute break. This ensures I don’t multitask while also being able to take time to recharge.
I am the type of person who needs to really focus on resting, otherwise, I will go until I burn out. Katie can 100% attest to this too! Another way you can time block is by using your calendar too. You can block for 1-2 hours (depending on the task) so you know you have dedicated time for that given task. I would make sure you add 15-20 buffers to ensure you take breaks & mentally recharge.
8. Automations & Outsourcing
Remember that list of busy work tasks you had? The way to get them off your plate is through either automations or outsourcing. I would first look at what you can automate. Simple things can be filtering your inbox, appointment scheduling, or sending contracts/invoices. For tasks that require personalization or can’t be automated, that is when outsourcing can come in. This allows you to focus on your zone genius knowing you have support through a VA for example.

Implementing these eight strategies might feel like a lot at first, but remember—small steps lead to big changes. Start with one or two, and watch how much time and energy you can reclaim. Running a business doesn’t have to mean sacrificing your life outside of it. By organizing, automating, and focusing on your goals, you’ll find that balance is possible.
